 HMS is delighted to present version 4.5 of TimeControl
TimeControl 4.5 is a significant advance in the TimeControl lifecycle. Focus for this version rests in three areas:
First there are new functions. The most visible and most often requested of these is the new ability to delegate authority for a timesheet.
Next, in a major development effort, we have exposed certain types of functionality which could only be accomplished in the past through complicated procedures or with knowledge of SQL. These changes are so significant that for many users, these features will appear to be new functions. An example of this would be the ability to add new user-defined fields directly from a menu.
Finally, we have expended a significant amount of effort in increasing the useability of the system. This work is spread across the entire system and we believe will make a tremendous impact in the ease of use and the ease of deployment of TimeControl.
Following are some of the features you will see in this version 4.5 of TimeControl.

New Features
|
Manage field names within the TimeControl interface
Known previously only as the Language Utility, this functionality has existed in TimeControl since the first version. However, until now, changing the name of a field could only be accomplished by an Administrator working on the actual Server where the ATS was installed. In TimeControl 4.5, this functionality has been integrated directly into the Administration menu and access to it is managed through User Profiles. An administrator can now update the names of existing or user-defined fields along with the equivalent translation value for any of the existing languages which TimeControl supports. An administrator can also create a completely new language or a variant on an existing language and manage the field names, error messages and other text-values of the system from within this utility.

User-defined fields
TimeControl can support an unlimited number of user-defined fields for each table. Now, the ability to add a new field is managed completely within the TimeControl menu. In the past, administrators would have to execute SQL commands to create the field and to populate certain required values in different TimeControl tables. Now, this flexibility is completely automated. Administrators will be able to add a new field to any of the tables directly through a menu selection. In addition, multiple types of fields are now supported including text, numeric and date fields. The automation mechanism will allow the administrator to simply name and define the field. TimeControl will automatically add it to the database, enter the field into the data dictionary which will have it appear in the user profiles area for security, in the field list for reporting and filtering purposes and in the translation table for creating multi-language field labels.
The impact of exposing this feature in this way is potentially huge. Without the requirement for a Database Administrator and substantial manual intervention, administrators will be able to increase the flexibility of the system to a tremendous degree.

User Defined Fields

Edit pop-up fields on-screen
TimeControl has a little-known capacity to create a list of selectable values for any field. This function has been listed in Administration area only and the interface for accessing this function could be generously described as cryptic. In TimeControl 4.5, the ability to create an/or edit a pop-up list of values for any field can be managed from within the table screen where that field appears.
Users with the appropriate rights will be able to add a new pop-up value instantly. This will serve vastly increase the usefulness of this function and to aid ease of use.

Documentation on-line
TimeControl has hundreds of pages of documentation that are included with on the installation CD. In version 4.5, the documentation will be installed on-line and will be accessible through the web interface.

Extended User-defined security
TimeControl has enjoyed a highly advanced security architecture for managing access to data. In TimeControl 4.5, this functionality is enhanced with additional options to restrict access to Add, Delete or Edit functions within each table. In addition, the Use Profiles section has been extended in order to manage the numerous updates which are a part of this new version.

Delegate Timesheet
Users can now delegate authority for entering or approving timesheets. This feature is particularly useful when a supervisor must be absent for a period of time and wishes to assign the responsibility to another user to approve timesheets in their absence.

TimeControl Installation
We have made substantial changes to the installation routine in TimeControl 4.5. These changes will automate several of the installation steps which have required manual intervention until now. This includes the step to create the TimeControl database and the server-based services for the ATS and the TimeControl scheduler. The installation of TimeControl into the Microsoft Project Web Access interface has also been automated. This should help with the speed of deployment for new and upgrading TimeControl implementations.

TimeControl / Microsoft Project Integration Tool
For users of Microsoft Project Server 2002 and 2003, TimeControl 4.5 includes a new setup tool designed to ease the integration of TimeControl directly into the Microsoft Project Server Project Web Acess interface. Administrators who wish, may display all of TimeControl's functionality within the Project Web Access menu structure. The new integration tool will also deliver TimeControl's flexible and dynamic collapsable menus directly within the PWA. These menus are all linked back directly into TimeControl's extensive User Profile menu system to ensure that only those useres with the appropriate rights get access to the approrpriate elements of TimeControl.

Pre and Post Posting Procedures
We've added an area to create your own workflow events within TimeControl. During the posting procedure, you can now create SQL Stored Procedures or SQL Statements which you wish to execute either prior to or following the posting procedure. This allows automated procedures to be created that let TimeControl perform functions or integrate with other systems beyond the original design.

Improved Features
|
Enhanced User Interface
We've made extensive changes across the TimeControl user interface based on feedback we've received from our clients. These improvements should serve to make users even more effective at using TimeControl. Improvements included such elements as shading the rows in the timesheet list that are under your current ownership, identifying in a message why a template might not appear or why other expected behavior has been restricted, identify the remaining number of licenses in the Users Table.

Improved Batch Release
Now users can release multiple timesheets directly from the Timesheet List. By using standard shift-click or ctrl-click commands, multiple timesheets can be selected on the Timesheet List and then all of the selected timesheets may be released instantly.

Improved Reporting
TimeControl 4.5 includes a vastly improved report wizard. Selecting tables and fields to create custom reports should now be much easier and require very little training. In addition, users can now edit reports that were once created in order to change the field selection.

Unrelease
When a user has released their timesheet in error, they can immediately recall it by using the UnRelease function. This function will be visible for a short period of time until the supervisor has accessed the new timesheet. This will serve to reduce the number of times an Administrator must intervene to change timesheet ownership or a Supervisor must reject a timesheet in order to correct the release.

Improved Table functionality
On all the tables we've adjusted the menu buttons, the look and feel and the right-click context sensitive menus. The menus buttons are also now all linked to the appropriate rights. For example, the Options menu which includes the option to add a new customized field to the table is not visible if the user does not have structure rights.
On some tables, we've added new functionality such as the User Table where the number of remaining licenses now appears or the Filter and Validation Tables where entries can now be categorized.

Improved Filter/Selection
We've changed the way the Filters are created with an all new menu which matches our new Report Creation Wizard. This is also available in field selection for Exports

Enhanced packages
Aside from the existing TimeControl packages for Filters, Validation Rules and Reports, Languages have now been added. This allows a centralized TimeControl Administrator to create custom definitions of terms and labels and then distribute that definition to all users.

Additional Enhancements
The list is too numerous to list here but we think you'll like them. We've made small changes all over the TimeControl interface including a large number of performance and functionality enhancements to the underlying TimeControl engine.
